com Description Seeking an assistant to manage variety responsibilities including, but not limited to:
working seamlessly with internal staff, project management support, office administrative work, greeting walk-in clients, answering phone calls, managing delegated responsibilities as requested by the executive.
This position involves contact with industry experts and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion, and judgment.
The highest level of professionalism is required.
The ability to effectively communicate and interact positively with all company employees, regulatory agencies, customers, consultants, and other contractor personnel is also required.
Experience High school diploma or equivalent Experience in the field of masonry/restoration preferred.
Minimum 2-3 years of previous administrative support/office experience preferred.
Requirements/Skills Proficient in Microsoft Office Suite (Excel/Outlook/Word), Blue Beam, Adobe, Quick Books Online Excellent time management and organizational skills Ability to proof and edit own work efficiently.
Detail-oriented, able to manage multiple tasks simultaneously with attention to prioritization, accuracy, and deadlines.
Self-motivated/capable of independent work Proficient at problem-solving/confident in recommending solutions and implementing improvements.
Sharp vision/fine motor skills required for computer use.
Proficient with mathematics/computing Excellent communication and interpersonal skills (written, verbal, listening) Highly reliable/dependable/trustworthy Tasks Assisting in creating proposals by transcribing customer info/scope of work needed in a template Proofing estimates Downloading plans/drawings Draft and edit correspondence/emails/reports and other necessary documents.
Prepare and organize meetings.
Collecting appropriate paperwork for submittals Communicating with customers via email on executive's behalf Traveling to job sites to take pictures/assist executives.
